Vendor Information

Vendors of goods used in the day-to-day operation of retreat centers and camps are being sought for the National Gathering of Retreat and Camp Leaders (managers, directors and staff) to be held at Camp Sumatanga in Gallant, Alabama, January 28-30, 2007.  The expected attendance is 300-400 people, representing more than 150 campsites from across the nation.

Time Designated for Vendors

Vendor time is designated for Sunday, January 28, 2007, beginning at noon.  Vendors may remain throughout the day Sunday and all day Monday until after dinner. Vendors should plan to arrive and set up on Sunday morning.  Vendors can expect heavy traffic during meal times, and there is the potential for continuous flow throughout the times between meals.

Space available

Spaces available are approximately 8 feet x 10 feet.  A six-foot rectangular table will be provided.  Vendors are responsible for providing their own drapes or table coverings.  Electricity is available upon request.

Fees

  • Space with electricity: $150
  • Table only: $100

There is no cost for nonprofit vendors.

 

Travel, Accommodations, Meals

Vendors are responsible for their own travel and motel expenses.  Motels are available within thirty minutes of Camp Sumatanga  (see listings below).

Meals may be taken at Sumatanga, if desired.
(Breakfast, $6.00, Lunch $7.00; Dinner, $8.50.
A 1% surcharge is assessed on all meals.)

Other Options for Vendors

If a vendor is unable to attend but would like to have a presence, the vendor may:

 

  1. Place a print ad.
    Each participant at the event is given a 3-ring binder (containing schedules, seminar/workshop descriptions, etc.) that serves as the event reference. 
    Every participant will see the ad several times during the event.
    Black and white ad rates are $500 for full page;
    $250 for ½ page:
    and $125 for ¼ page.

 

  1. Sponsor a portion of the event (snack, speaker).
    Recognition of the sponsoring company would be printed on the schedule.
    A poster or banner (provided by the vendor) would be displayed during the scheduled time  (that is, displayed in the snack area or near the stage during a speaker's presentation.)

 

  1. Send giveaway items (at no charge) to be distributed.
    Items distributed at past events have inclluded pens, mugs, and t-shirts with company logos.
